Planning a Group Trip?

1. Appoint a Trip Leader. Every undergraduate organization traveling as a group needs to designate an officer as trip leader. The trip leader coordinates planning and is responsible for making sure the group meets all requirements below. Leading Group Travel.

2. Review the Yale and the World International Toolkit. The toolkit is your go-to resource for trip planning and preparation, especially the section on Leading/Sponsoring Group Travel. It covers:

  • How to be an educated traveler
  • Pre-trip planning, logistics, and emergency planning
  • Travel safety guidance

3. Register your group’s travel in Yale Connect no later than two weeks before departure. This step is required for all group travel and connects you with the resources and support listed above.

4. Every student on the trip must sign the Yale College Travel Release Form before departure. As trip leader, make sure signed forms are collected and on hand before the group leaves. 

5.  Review and complete the applicable Checklist for Safe Travel from the Office of Risk Management. This is a required step for trip leaders, not just a recommended one.
